Commercial tenancies run longer, divide costs differently and are negotiated rather than issued on a standard form. The management work follows the lease, and no two leases divide the building the same way.
How commercial differs
Residential tenancies run on a standard form with statutory protections. Commercial ones are negotiated, so what the tenant maintains, insures and pays toward differs from unit to unit in the same building.
That makes lease abstraction the first job: pulling the dates, options, recovery formulas and repair obligations out of the document so nobody administers the building from memory.
The detail is on commercial property and retail and office, with reporting on accounting.
Running a commercial unit
Dates, options, recoveries and repair obligations pulled out and tracked, not remembered.
Renewal and break dates carry notice periods, and a missed one can cost a term.
Operating costs apportioned per the lease formula, then reconciled rather than estimated.
Tenant work checked against what the lease permits, before it becomes a reinstatement dispute.
Where money is lost
A renewal option with a notice period that passes unnoticed can hand a tenant another term on old rent, or lose a good one entirely. It is the most expensive administrative mistake in commercial letting.
Recoveries estimated and never reconciled are the second. Operating costs apportioned by a formula nobody revisits drift away from what the building actually spent, in one direction or the other.
Both are avoidable with a tracked abstract. See reporting, inspections and management fees.
